How to backup incoming / outgoing mail

This document demonstrates an example to backup incoming & outgoing mail for collaboration and auditing issue in company.

 

Suppose the mail accounts in company are shown as below:

  • boss
    • manager1
      • employee1
      • employee2
    • manager2
      • employee3
      • employee4

We are going to backup managers' mail to boss and employee's mail to managers. On the other hand, we also need to backup outgoing mail.

First of all, for incoming mails:

(1) Create a new account backup4boss, setup manager1, manager2 accounts to backup incoming mail to backup4boss in user management. And give this account backup4boss to boss to use.

(2) Create a new account backup4manager1, setup employee1, employee2 accounts to backup incoming mail to backup4manager1 in user management. And give this account backup4manager1 to manager1 to use.

(3) Create a new account backup4manager2, setup employee3, employee4 accounts to backup incoming mail to backup4manager2 in user management. And give this account backup4manager2 to manager2 to use.

Above(1)(2)(3) shows how to backup incoming mails to specific accounts.

For outgoing mails, raidenmaild provides auditing level backup, which means server will backup every outgoing mail that server sent out.

(1) Create a new account backupout, go to [Server settings]-[Log setup]-[Backup outgoing mail] to setup outgoing mail to backupout account.

(2) Prepare a outlook (mail client), use this backupout account to login and receive the whole outgoing mails to this outlook all the time. Suggest you could create several folders for those users and setup several mail rules to move mail to specific folder. (ie: Move manager1's mails to manager1 folder).

Base on the settings, you already completed the setting to backup incoming and outgoing mail to specific accounts for collaboration and auditing issue.
